The Contacts screen for an entity contains a grid that accommodates an unlimited number of contacts. Use the Role code to identify each contact's position in the entity. Multiple contacts can be defined for any role for an entity.
A Primary Contact designation must be established for each entity/role combination. If one or more contacts are defined for a specific entity/role combination, one of these contacts must be designated as the Primary Contact.
When emails are generated based on the Contacts for an entity/role combination, the Primary Contact’s email address is displayed in the Mail To field of the email. All other Contacts for the same entity/role combination are displayed in the "CC" field.
Tendering, Event Notification, Alerts, and Report Center potentially use Contacts data when generating emails.
The Contacts list is sorted in ascending order by Role Description (from the Domain table) and then in ascending order by Contact Name. List Customization is accessible using the applicable icon in the header row for the grid.
Contacts can be edited for all of the following entities:
Contacts are accessible for the Origin Location, Carrier, and Tariff/Service combination associated with each row on the Rate Shop page for loads, trips, bookings, and shipment legs. The Contacts page is always displayed in view-only mode when accessed from the Rate Shop page.
At installations using Simple Mail Transfer Protocol (SMTP), the email field for the Contacts must refer to a specific email address (or list of comma separated email addresses). Otherwise, the email field could contain a combination of comma separated email addresses and/or list group names.
Contacts are used in the following modules when generating e-mail:
